1. Overview

RecruitTruth (“we,” “us,” or “our”) is committed to protecting the privacy of athletes, parents, and coaches who use our Platform. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. By using the Platform, you consent to the practices described here.

2. Information We Collect

Account Information: When you register, we collect your name, email address, account type (athlete or coach), and password (stored as a secure hash, we never see your plain-text password).

Athlete Profile Data: Sport, position, graduation year, height, weight, GPA, ACT/SAT scores, athletic statistics, awards, film links (Hudl, YouTube), social media handles, home state, geographic preferences, FAFSA/financial aid status, phone number, and profile picture (if uploaded). We also collect the email address of any high school or club coach who invited the athlete to the Platform via the team invite feature, which is used to link the athlete to that coach's roster.

Coach Data: Institution name, sport, division level, position title, coach type (collegiate or high school/club), and subscription information.

Payment Information: Payments are processed by Stripe. We do not store your full credit card number. We retain transaction records (amount, date, product purchased) for billing and support purposes.

Usage Data: Log data including pages visited, features used, IP address, browser type, and timestamps. We use Google Analytics (GA4) and Vercel Analytics to collect aggregated, anonymized usage data. These services may use cookies and similar technologies to track interactions with the Platform. Google Analytics data is processed by Google in accordance with Google's privacy policy. Vercel Analytics data is processed by Vercel in accordance with Vercel's privacy policy. Neither service is used for advertising targeting.

3. How We Use Your Information

  • To create and maintain your account and athlete profile.
  • To calculate your RT Score and determine division fit levels.
  • To display your profile to subscribing collegiate coaches and, where applicable, to the high school or club coach whose roster you are linked to.
  • To monitor profiles for data integrity and flag suspicious changes.
  • To process payments and deliver purchased reports or services.
  • To send transactional emails (receipts, password resets, score updates).
  • To improve the Platform through aggregate, anonymized analytics.

4. Who Sees Your Data

Collegiate Coach Subscribers: Athletes' profile data, including name, sport, position, RT Score, division fit levels, statistics, GPA, financial aid status, contact information, and film links, is visible to coaches who hold an active paid collegiate subscription. This is the core function of the Platform and is consented to when an athlete creates a profile.

High School and Club Coaches (Free Tier): Athletes who are linked to a high school or club coach's roster — either by registering through a coach's invite link or by being manually added — have their profile data visible to that specific HS/Club coach. HS/Club coaches have read-only access limited to their own roster athletes. Your profile is not visible to HS/Club coaches outside your roster.

RecruitTruth Staff: Our team may access profile data for the purposes of integrity review, customer support, and Platform operations.

Service Providers: We use Supabase (database and authentication), Stripe (payments), Resend (transactional email), Google Analytics (usage analytics), and Vercel Analytics (usage analytics). Each is bound to use your data only to deliver services to us. Google Analytics and Vercel Analytics receive anonymized usage data only; they do not receive your profile data or personally identifiable athletic information.

We do not sell your personal information to third parties. We do not share your data with advertising networks.

5. Data Retention

We retain your account and profile data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes such as fraud prevention or legal compliance.

6. Children's Privacy (COPPA)

We are aware that many athletes using this Platform may be minors. We do not knowingly collect personal information from children under 13 without verifiable parental consent. Athletes between 13 and 17 should use the Platform with parental awareness and consent. Parents may contact us at support@recruittruth.com to review, modify, or delete their child's data.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the data we hold about you.
  • Correction: Update inaccurate information through your profile or by contacting us.
  • Deletion: Request deletion of your account and personal data.
  • Portability: Request your data in a portable format.
  • Opt-out: Unsubscribe from non-transactional emails at any time via the unsubscribe link.

8. Security

We use industry-standard security measures including encrypted connections (HTTPS), hashed passwords (bcrypt), and access-controlled databases. While we work to protect your data, no system is completely secure. We encourage you to use a strong, unique password for your account.

9. Cookies and Analytics

We use session cookies and local storage to maintain your login state and improve your experience.

Google Analytics: We use Google Analytics (GA4) to understand how visitors use the Platform. Google Analytics places cookies on your device and collects anonymized data such as pages visited, session duration, and general geographic region. This data is used solely to improve the Platform. It is not used for advertising targeting. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Vercel Analytics: We use Vercel Analytics to measure Platform performance and usage patterns. Vercel Analytics is privacy-friendly and does not use persistent tracking cookies or collect personally identifiable information.

We do not use advertising or retargeting cookies. You can disable cookies in your browser settings, but some Platform features may not function correctly without them.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. For significant changes, we will notify you by email or by a notice on the Platform.
